Fixed Price (Prefix Price) RFQs

When you've already agreed on a rate with vendors or want to offer a preset amount, you can create an RFQ with a fixed price (prefix price). Vendors can then accept the amount instead of quoting their own.

When to use fixed price

  • You have a standing rate with certain vendors.
  • You want to offer a set price and only need vendors to confirm they can do the job.
  • You're sending the same job to multiple vendors and want to compare availability (truck, driver) at one price.

Creating a fixed price RFQ

  1. In Create RFQ, select a booking and set the expiry date.
  2. In the Fixed price (RM) field, enter the amount (e.g. 1250.00).
  3. Click Create RFQ.

The system creates the RFQ with that price locked. Vendors will see it and cannot change it.

What vendors see

  • The page title shows "Vendor Quote – Accept fixed price".
  • The fixed amount appears clearly (e.g. "Fixed price: RM 1,250 — Accept and provide truck & driver details").
  • The Quoted amount field is read-only and shows the fixed price.
  • Vendors fill in truck, tonnage, driver name, and driver phone, then click Accept & Submit.

WhatsApp message

When you use Send to selected vendors, the WhatsApp message includes:

  • Fixed price: RM X,XXX
  • (Vendor accepts this price – no quote amount needed)

RFQ Dashboard badges

On the Active RFQs list:

  • Fixed: RM X,XXX — Indicates this RFQ has a fixed price; vendors can only accept.
  • Awaiting quotes — Shown when the RFQ is open and no quotes have been submitted yet.

Accepting a fixed price quote

The flow is the same as for normal quotes: expand the RFQ, review the vendor's truck and driver, click Accept, then go to Quick Assign to complete the assignment. The agreed price will be the fixed amount you set.
